INSURANCE LETTERS FOR SEOUL PLASTIC SURGERY 2026: WHAT TO ASK FOR

What a Seoul clinic can and cannot put in writing for your employer, insurer, or home-country reimbursement claim.

By Editorial

Most foreign patients only think about paperwork after they land, which is the worst time to ask for it. A Seoul plastic surgery clinic can issue a medical letter on the day of discharge, but what the letter actually says depends on how you asked, who you asked, and what you brought with you. The difference between a one-line receipt and a reimbursable claim is usually fifteen minutes of coordinator time at check-in.

WHY INSURANCE LETTERS MATTER FOR MEDICAL TOURISTS

Three common uses drive almost every request. Employers in the UK, US, Germany, Australia, and Singapore want written proof that a sick leave absence was medically necessary, especially if the stay runs beyond ten days. Supplemental insurance policies with international coverage riders need an itemised breakdown of the procedure, materials used, and the attending surgeon's credentials before they will consider partial reimbursement. Some travel insurance claims around complications or extended stay also require the original clinic's clinical summary before adjusters will release funds. In every case the letter has to come from the licensed surgeon or hospital director, not the booking agent.

Clinics with government foreigner-designated status know this flow because they process hundreds of international patients per year. Grand Plastic Surgery in Apgujeong has handled over 30,000 international patients and keeps letter templates in English, Chinese, Russian, and Mongolian. April31 Aesthetics is KFBA-registered and bundles airport pickup, tax refund paperwork, and standard letters into their international patient package. Girin Plastic Surgery in Seocho is government foreigner-designated with KAPRS surgeons and issues post-op letters as part of its one-year post-op guarantee. If you plan to claim anything at home, pick a clinic from this tier. Smaller clinics will often help, but turnaround can slip past your flight date.

WHAT A USABLE INSURANCE LETTER MUST CONTAIN

Insurers reject vague letters. For a letter to actually unlock a reimbursement or sick leave approval, it needs seven elements, all on clinic letterhead with a wet or digital stamp. Patient legal name matching the passport, patient date of birth, procedure name in standard medical terminology (not the Korean marketing name), ICD-10 or procedure code where applicable, date of surgery, estimated recovery and work-restriction window in days, and the attending surgeon's full name with medical license number. Missing any of these and the letter will come back from the adjuster.

Procedure wording trips up most first-timers. A clinic writes 'facelift' on a receipt because that is what you booked, but an insurer wants 'SMAS plication rhytidectomy' or 'extended deep-plane rhytidectomy, bilateral.' A nose job becomes 'open structural rhinoplasty with autologous rib cartilage graft.' Ask the surgeon directly for the technical procedure name before you sign the discharge form. The same discipline applies to implants and devices. A Motiva Ergonomix letter should list the implant model, serial number, volume in cc, and lot number, which also matters if you ever need the implant replaced or recalled.

HOW TO REQUEST THE LETTER WITHOUT DELAYS

The best time to ask is during the pre-surgery coordinator call, not after you are already in Seoul. Write the request in email the week before you fly so there is a paper trail. State the exact phrasing you need, the recipient (employer HR, specific insurer name), the language (English is standard, Chinese and Arabic are common add-ons), and the delivery format (physical on letterhead plus a signed PDF). Clinics that process international patients routinely will confirm within 24 hours. If the clinic takes longer than three days to answer this one email, treat that as a red flag for the whole trip.

On the day of surgery or your first post-op visit, hand the coordinator a printed copy of your insurer's claim form if you have one. Many European and Australian insurers publish a two-page template; the clinic doctor fills it in and stamps it directly. This avoids the back-and-forth where your home insurer asks for a reformatted version of the clinic's letter after you have already flown home. For logistics around clinic choice and tax paperwork, our tax refund guide for Seoul aesthetic treatments and the medical visa breakdown by country cover the related documents you will also need in the same envelope.

DOCUMENTS TO CARRY HOME IN YOUR ENVELOPE

  • 01Original signed letter on clinic letterhead, English version with surgeon stamp (plus a second language if your insurer requires it)
  • 02Itemised receipt showing surgical fee, anesthesia, implants or materials, and VAT breakdown
  • 03Operative report or surgical note (one to two pages) summarising the procedure performed
  • 04Pathology or histology report if any tissue was sent for analysis
  • 05Discharge summary with recovery milestones and the day-count of work restriction
  • 06Implant card or device sticker (Motiva, Mentor, Allergan) with model and lot number
  • 07Signed PDF copies of all of the above on a USB stick or email, in case the hard copies get wet in transit
  • 08Surgeon medical license number and clinic business registration number for insurer verification

Keep physical and digital copies separate. Scan everything to cloud storage before you leave the clinic lobby. Flyers get lost, and clinics will not courier replacement letters internationally without an additional fee.

COSTS, TIMING, AND WHAT CLINICS WILL NOT WRITE

Standard English letters are free at foreigner-designated clinics as part of the international patient package. Add-on languages run around ₩50,000 to ₩150,000 per language for certified translation. Rush turnaround on day of discharge is usually free; a reissued letter requested after you have left Korea runs ₩100,000 to ₩300,000 plus international courier fees of around ₩80,000 for DHL. A certified apostille, which some government employers and visa authorities demand, adds another two to five business days at the Korean Ministry of Foreign Affairs and roughly ₩2,000 per document plus an agent fee of ₩50,000 to ₩100,000.

Expect clinics to refuse three types of request. They will not misrepresent an elective aesthetic procedure as medically necessary disease treatment, since that is fraud and surgeons risk their license. They will not backdate letters. They will not list a procedure you did not have, even if your home insurer only covers that specific code. If an agent or shopping guide tells you a clinic will 'write whatever you need,' that clinic is low-tier and should be skipped. Clean paperwork from a government-designated clinic is worth more than any discount you would get from an unregulated one. For related planning, the recovery apartment comparison across Gangnam, Apgujeong, and Sinsa and the week-by-week facelift recovery timeline both tie into the day-count numbers that end up on the sick leave letter.

HOW MUCH NOTICE DO SEOUL PLASTIC SURGERY CLINICS NEED FOR AN INSURANCE LETTER?

Email the request a week before surgery to confirm language, format, and recipient details. Government foreigner-designated clinics like Grand PS, April31, and Girin PS confirm within 24 hours and prepare the letter in advance so it is ready at discharge. Smaller clinics may take three to seven days, which can slip past your return flight.

WILL A SEOUL CLINIC WRITE A LETTER SAYING MY SURGERY WAS MEDICALLY NECESSARY?

Only if it genuinely was. Reconstructive cases after accident or cancer, revision surgery for complications, and functional procedures like septoplasty or ptosis correction can be documented as medically indicated with supporting diagnosis. Purely elective cosmetic surgery, including aesthetic rhinoplasty, breast augmentation, and facelift for appearance reasons, will be documented accurately as elective. Clinics will not falsify this because surgeons face license revocation.

CAN I USE THE CLINIC LETTER FOR TRAVEL INSURANCE CLAIMS IF I HAVE COMPLICATIONS?

Yes, and travel insurers specifically require the original clinic's clinical summary before processing complication claims. Make sure the discharge letter mentions any post-op issue, even minor, with the date and treatment given. If a complication develops after you fly home, your Seoul clinic will usually email a supplementary letter at no cost within three to five days, as long as you were a documented patient. Keep the clinic coordinator's direct email, not the general reception address.

DO I NEED THE LETTER TRANSLATED INTO MY HOME COUNTRY'S LANGUAGE?

English is accepted by most insurers in the UK, US, Canada, Australia, Singapore, and most of Europe. Germany, France, Spain, Russia, UAE, Saudi Arabia, Japan, and China often require a certified translation in the local language. Foreigner-designated clinics offer common languages in-house for ₩50,000 to ₩150,000. For other languages, the clinic refers you to a certified translation service in Gangnam that returns documents within two business days.

editor's note

Treat the paperwork envelope with the same care as your passport. Scan every document to cloud storage before leaving the clinic, carry the originals in your personal bag not checked luggage, and keep the clinic coordinator's direct email on your phone. One missing stamp can block a four-figure reimbursement for months.
